Montana Municipal Insurance Authority Quickly Embraces ImageNow

Perceptive Software, Inc., announced that Montana Municipal Insurance Authority (MMIA) selected ImageNow® integrated document management, document imaging and workflow solutions to make claims processes more efficient.

MMIA offers workers' compensation, liability and property coverage, risk management, employee benefits and insurance administration services to communities across Montana. An expanding customer base led to an overflow of paperwork, which inhibited productivity and delayed customer service. MMIA evaluated several document imaging products, but a webinar convinced them that ImageNow would be the best fit for their organizational objectives.

"We were astounded by the user-friendliness of ImageNow," said Linda Moots, systems administrator. "The fact that ImageNow could integrate with our host applications in minutes blew us away."

Before finally choosing ImageNow, MMIA scheduled an on-site demonstration for their entire user base to ensure that those who would be using ImageNow on a daily basis were comfortable with the application.

"We had a large buy-in from our end users when they saw that ImageNow was quick to implement, user-friendly and would allow us to quickly correct any errors within our workflow that could ultimately result in delays in our claims processing," Moots said.

The practical benefits ImageNow provides have convinced the remaining MMIA users that purchasing ImageNow was a wise choice. Patented ImageNow technology facilitated rapid integration with CSC RISKMASTER, Microsoft Outlook and MMIA's other host applications. This contributed to a three-day deployment that gave MMIA an immediate return on their investment.

"We deployed ImageNow on a Monday and by Wednesday we were using it," Moots said. "It was a wonderfully smooth transition."

MMIA is using ImageNow in its claims departments and will soon implement the solution in human resources, finance, policies, employee benefits, general office administration and underwriting. The organization is already realizing the benefits of ImageNow.

"We used to photocopy 600-page documents, put them in a box and mail them to our legal counsel when they requested information," Moots said. "With ImageNow Printer, we can print every page into a single e-mail attachment. It's so much more convenient."

Staff members are also using ImageNow Printer to import Microsoft Excel spreadsheets and other documents into individual workflow queues, where they are linked with claims forms to create complete records. The combination of this function and ImageNow workflow features helps make MMIA's claims processing timely and efficient.

"ImageNow has provided us with many immediate benefits, but we also see it being a long-term cost saver," Moots said. "ImageNow helps us cut postage and storage expenses and is a huge time-saver for our staff."
