Kansas State Board of Nursing Treats Inefficiencies With ImageNow

Kansas State Board of Nursing licenses and renews the credentials of more than 2,000 nurses each month. The accompanying paperwork took its toll on the organization's aging microfilm system, which was being held together by duct tape. Managing paper files also was time-consuming for staff members. KS Board of Nursing turned to ImageNow to solve the escalating storage, compliance and cost inefficiencies.

Staff members use the application to easily access, update and distribute pertinent information, and specific records are just a click away. Remote access allows authorized employees to retrieve documents from any location. Adrian Guerrero, information technology manager, relates a specific situation where ImageNow came through in a pinch.

"I was in Chicago for a meeting and needed some documents from the office. Because of ImageNow, I was able to pull them up on the spot," Guerrero said. "Before, that information would be sitting in three-ring binders on a shelf. But with ImageNow, I can pull up key documents from anywhere with a secure internet connection."

Perceptive Software transferred knowledge early in the agency's ImageNow implementation process, so that all users were quickly able to see the benefits Guerrero references. Patty Brown, education specialist, believes ease of use translates into quick user acceptance.

"I can sit down with someone, show them how to access files with ImageNow, and in less than five minutes, they can do it on their own," said Brown. "You don't have to spend a lot of time figuring out the nuances of the program."

Rapid deployment also played a key role in the easy transition to ImageNow. KS Board of Nursing is extremely satisfied with the cost and efficiency benefits the solution provides.

"When we installed ImageNow, we allocated a certain amount of money for it, and in the end we came in $10K under budget," Guerrero said. "And although he stayed to make sure everything was running smoothly, our Perceptive Software implementation consultant probably could have left after just two days of installation."
