ReSoft applies Classification to solve Email & Document Confidentiality, Distribution-Control and Retention problems

ReSoft International has today released a new Best Practices white paper emphasizing how applying structured, user-driven Document & Email Classification techniques can lead to significant improvements in managing Document Confidentiality, Distribution-Control and Retention standards.

The paper focuses on how tools like the Titus Classification Suite from Titus Labs, recently added to ReSoft's portfolio of email management products, will enable organizations to better protect intellectual property, client-attorney priviledge and improper distribution of documents.

Classification is an emerging technique for adding metadata and visual labels to email and documents. Classifications are used to enforce internal ethical walls by preventing sensitive information from being shared inappropriately. An email classification label such as “Mergers and Acquisition Dept Only” used in conjunction with a 'Safe Recipient' list will help ensure that sensitive information is restricted to groups of users with “need to know”. Used in conjunction with a Digital Rights Management System (such as Microsoft's RMS), email can be properly protected based on its classification, ensuring that only certain users have rights such as “View”, “Forward”, “print” etc.

Classifications can also specify retention periods to ensure that sensitive emails are not inadvertently deleted while still under one or more legal embargos. For example, email classification labels such as “Retain for 3 years” or “Retain for 90 days” can be read by server-based email archiving systems, which can ensure that the emails are retained for the desired period.

ReSoft International is now offering the Titus Labs suite of Message & Document Classification Products to its customers. The products introduce Classification and Retention labels into Microsoft Outlook, OWA and Microsoft Office applications. Users can be forced to make explicit classification selections based upon their role, before a message can be sent ensuring that a conscious decision is made about the disposition of sensitive emails and documents.
